How to Create an Invoice PDF and Download It for Free
Your client wants an invoice, and they want it as a PDF. You don't need Word, Excel or accounting software for that. This guide shows you how to make an invoice online and download it as a PDF in a few minutes, for free.
Why Send Invoices as PDFs?
- It looks the same everywhere. On a phone, a laptop or printed out, the layout doesn't move.
- It can't be changed by accident. Unlike a Word or Excel file, nobody can type over your figures.
- It's what accounts teams expect. Most businesses file and process invoices as PDFs.
What You Need Before You Start
- Your business name, address and contact details, plus your logo if you have one
- Your client's name and address
- What you are billing for, with quantities and rates
- Your GSTIN and your client's, if you charge GST
- How you want to be paid: bank details or a UPI ID
How to Create Your Invoice PDF
- Create a free account. It takes under a minute and needs no credit card.
- In your dashboard, click New and choose New Invoice.
- Enter your business details and upload your logo.
- Under Bill To, enter your client's details.
- Add your line items. Totals work themselves out as you type.
- Under Anything else?, add a due date, GST or tax, a discount or shipping if you need them.
- Add your payment details so your client knows how to pay you.
- Pick a theme. The preview shows exactly how your PDF will look.
- Click Download PDF.
The file is named after your invoice number, such as INV-001.pdf, so it is easy to find later. If something required is missing, such as the invoice number, the date, your business details or an item description, the form points it out before downloading.
Check These Before You Send It
- The client's name and address are spelled correctly.
- The invoice number follows on from your last one.
- The due date matches what you agreed with the client.
- The tax is right. In India, choose CGST and SGST for a client in your state, or IGST for one in another state.
- Your payment details are complete, with no missing digits in the account number or UPI ID.
On the free plan, you can edit a document for 24 hours after you create it. After that, it stays exactly as you sent it, and you can still download, share and print it. Pro lets you edit any document at any time.
Other Ways to Send Your Invoice
A PDF attachment isn't the only option:
- Share link. Your client opens the invoice in their browser. No download, no login.
- WhatsApp. Send the link straight to your client's chat.
- Print. Print a paper copy for walk-in customers or your own files.
Downloading an Invoice Again Later
Every invoice you create is saved in your dashboard. Open the invoice's menu and choose Download PDF to get a fresh copy at any time. That includes locked invoices, and invoices made while you were on Pro after your subscription ends.
Is It Really Free?
Yes. Your first 10 documents are free, with your logo, no ads and no watermark on the PDF. Past that, Pro is ₹49 a month, or ₹999 for two years, for unlimited invoices, quotations and receipts.
